Welcome to the SimonMash ERP Ecosystem

This guide is your roadmap to understanding every corner of the system — from the foundation of Settings and Academic Years to advanced modules like AI Lesson Planner, CE Score Management, and Financial Ledger. We’ve structured it in the exact sequence you should follow, so you never miss a dependency. Whether you’re an admin, teacher, or registrar, you’ll find clear explanations and direct paths to each feature.

14+ integrated modules Relational data flow Step‑by‑step logic

The Golden Rule: “Set It Up, Then Log It”

The SimonMash ERP is highly relational — a Class needs a Teacher, a Student needs a Class. Follow the blueprint: Foundation → Walls → Roof → Furniture

🧱

Phase 1: Laying the Groundwork

Admin Setup
⚙️

1. System Settings

What it does: Define school identity — Name, Logo, Address. This info appears on receipts, certificates, and the website.

Settings → School Information

📅

2. Academic Year

Why it matters: Create the current year (e.g. 2026-2027) and mark it active. All future data is linked to this year.

Settings → Academic Year

🔐

3. Roles & Privileges

What it does: Define access rights for Admins, Teachers, Accountants. Prevents unauthorised access.

Settings → Roles & Privileges

👥

Phase 2: Who is Who? (Staff & Structure)

👩‍🏫

4. Staff Management

Add every employee with Professional Number (PEN) and designation. You cannot assign a Class Teacher unless they exist here.

Staff → Add Staff Directory

📚

5. Academic Setup

Subjects → add all subjects. Classes → create sections & assign Class Teachers. Then assign subjects to classes.

Academics → Subjects / Classes

🎓

Phase 3 & 4: Core Data + Daily Ops

📋

6. Student Admissions

Manual enrollment or bulk CSV import. Enroll students into defined classes.

Students → Admission

7. Attendance

Mark daily attendance for students and staff. Track presence in real time.

Attendance / Staff Attendance

💰

8. Fee Management

Create fee structures, collect payments, generate digital receipts.

Finance → Fee Management

📊

9. Exams & CE Scores

Continuous Evaluation (CE) + term-end exams. Enter marks, lock scores, generate reports.

Examination → CE Scores / Wizard
