Kerala Plus One Accountancy Notes Chapter 5 Bank Reconciliation Statement

A Bank Reconciliation Statement is a statement prepared by the depositor to reconcile the bank balance as per Cash book with the balance as per pass book on a certain date.
പാസ്ബുക്കിൽ എഴുതിയിരിക്കുന്ന ബാലൻസും ക്യാഷ് ബുക്കിൽ (Bank column) എഴുതിയിരിക്കുന്ന ബാലൻസും താരതമ്യം ചെയ്ത്, രണ്ട് ബാലൻസും ശരിയാണോ എന്ന് ഉറപ്പു വരുത്തുന്നതിനുവേണ്ടി ഒരു നിശ്ചിത സമയത്ത് depositor തയ്യാറാക്കുന്ന സ്റ്റേറ്റ്മെന്റ് ആണ്


Causes of differences between cash book balance and pass book balance
ക്യാഷ് ബുക്ക് ബാലൻസും പാസ് ബുക്ക് ബാലൻസും തമ്മിലുള്ള വ്യത്യാസങ്ങളുടെ കാരണങ്ങൾ



There are certain valid reasons for disagreement between the balances of cash book and pass book, they are as follows:
ക്യാഷ് ബുക്കിന്റെയും പാസ് ബുക്കിന്റെയും ബാലൻസുകൾ തമ്മിലുള്ള വ്യത്യാസത്തിന് സാധുവായ ചില കാരണങ്ങളുണ്ട്, അവ ഇനിപ്പറയുന്നവയാണ്:

1. Cheque issued but not presented for payment
When a trader issues cheque to a third person, he immediately enters in the cash book whereas, it will be entered by the bank only when the cheques are presented to the bank for payment.
 ചെക്ക് ഇഷ്യു ചെയ്തെങ്കിലും പേയ്‌മെന്റിനായി ഹാജരാക്കിയിട്ടില്ല
ഒരു വ്യാപാരി ഒരു മൂന്നാം വ്യക്തിക്ക് ചെക്ക് ഇഷ്യു ചെയ്യുമ്പോൾ, അയാൾ ഉടൻ തന്നെ ക്യാഷ് ബുക്കിൽ പ്രവേശിക്കും, അതേസമയം, പേയ്‌മെന്റിനായി ബാങ്കിൽ ചെക്കുകൾ ഹാജരാക്കുമ്പോൾ മാത്രമേ അത് ബാങ്ക് നൽകൂ.


2. Cheque paid in but not credited by bank
Cheque received from customers might have been paid into bank and entered on the debit side of the cash book by the trader. But the bank will credit the same only after realization of the cheque.

ഉപഭോക്താക്കളിൽ നിന്ന് ലഭിച്ച ചെക്ക് ബാങ്കിലേക്ക് അടയ്ക്കുകയും വ്യാപാരി ക്യാഷ് ബുക്കിന്റെ ഡെബിറ്റ് ഭാഗത്ത് നൽകുകയും ചെയ്തിരിക്കാം. എന്നാൽ ചെക്ക് തിരിച്ചറിഞ്ഞതിനുശേഷം മാത്രമേ ബാങ്ക് ക്രെഡിറ്റ് ചെയ്യുകയുള്ളൂ.

3. Interest etc. credited by bank
Interest allowed on bank balance, dividends etc. collected by the bank will be credited in the pass book. But the trader may not enter the same in his cash book on the same day.
ബാങ്ക് ക്രെഡിറ്റ് ചെയ്ത പലിശ മുതലായവ ബാങ്ക്
ശേഖരിക്കുന്ന ബാങ്ക് ബാലൻസ്, ഡിവിഡന്റ് മുതലായവയ്ക്ക് അനുവദിച്ച പലിശ പാസ് ബുക്കിൽ ക്രെഡിറ്റ് ചെയ്യും. എന്നാൽ വ്യാപാരി അതേ ദിവസം തന്നെ തന്റെ ക്യാഷ് ബുക്കിൽ അത് നൽകരുത്.

4. Bank charges etc. debited in pass book
Bank charges, interest on overdraft, commission for collection of cheques, bills, etc. will be debited by the bank in pass book as and when they occure. But it will be entered by the trader only on a later date in his cash book as he may not be aware about them on the same day.
ബാങ്ക് ചാർജുകൾ മുതലായവ പാസ് ബുക്കിൽ ഡെബിറ്റ് ചെയ്യുന്നു
ബാങ്ക് ചാർജുകൾ, ഓവർ ഡ്രാഫ്റ്റിനുള്ള പലിശ, ചെക്കുകൾ ശേഖരിക്കുന്നതിനുള്ള കമ്മീഷൻ, ബില്ലുകൾ തുടങ്ങിയവ. എന്നാൽ വ്യാപാരി തന്റെ ക്യാഷ് ബുക്കിൽ പിന്നീടുള്ള തീയതിയിൽ മാത്രമേ അത് നൽകുകയുള്ളൂ, കാരണം അതേ ദിവസം തന്നെ അവരെക്കുറിച്ച് അവന് അറിയില്ലായിരിക്കാം.

5. Cheques credited but dishonoured
When cheque is discounted, bank will credit it in pass book and customer debit it in cash book, hence both the balances will be increased. Later on if this cheque is dishonoured, the bank will debit the customers account (pass book) but it may not be entered by the trader in his cash book at that time.

ചെക്കുകൾ ക്രെഡിറ്റ് ചെയ്തെങ്കിലും അപമാനിക്കപ്പെടുന്നു
ചെക്ക് ഡിസ്ക ed ണ്ട് ചെയ്യുമ്പോൾ ബാങ്ക് അത് പാസ് ബുക്കിൽ ക്രെഡിറ്റ് ചെയ്യുകയും ഉപഭോക്താവ് ക്യാഷ് ബുക്കിൽ ഡെബിറ്റ് ചെയ്യുകയും ചെയ്യും, അതിനാൽ രണ്ട് ബാലൻസും വർദ്ധിപ്പിക്കും. പിന്നീട് ഈ ചെക്ക് അപമാനിക്കപ്പെടുകയാണെങ്കിൽ, ബാങ്ക് ഉപഭോക്താക്കളുടെ അക്കൗണ്ടിൽ (പാസ് ബുക്ക്) ഡെബിറ്റ് ചെയ്യും, എന്നാൽ അത് വ്യാപാരി ആ സമയത്ത് തന്റെ ക്യാഷ് ബുക്കിൽ നൽകില്ല.


6. Direct payment into the bank by trader’s customers

The customers of a trader might have deposited money into the trader’s bank account directly. But it may not be intimated to the trader soon, hence it will not be recorded in the cash book.  വ്യാപാരിയുടെ ഉപഭോക്താക്കൾ

നേരിട്ട് ബാങ്കിലേക്ക് പണമടയ്ക്കൽ ഒരു വ്യാപാരിയുടെ ഉപഭോക്താക്കൾ വ്യാപാരിയുടെ ബാങ്ക് അക്കൗണ്ടിലേക്ക് നേരിട്ട് പണം നിക്ഷേപിച്ചിരിക്കാം. എന്നാൽ ഇത് ഉടൻ തന്നെ വ്യാപാരിയെ അറിയിച്ചേക്കില്ല, അതിനാൽ ഇത് ക്യാഷ് ബുക്കിൽ രേഖപ്പെടുത്തില്ല.

7. Payment made by bank on behalf of the customer
The bank might have made some payments on behalf of the customer under ‘standing instructions’ and debited the customer’s account. But the customer may not have entered the same in his cash book. 
ഉപഭോക്താവിനുവേണ്ടി
ബാങ്ക് നടത്തിയ പേയ്‌മെന്റ് 'സ്റ്റാൻഡിംഗ് നിർദ്ദേശങ്ങൾ' പ്രകാരം ഉപഭോക്താവിന് വേണ്ടി ബാങ്ക് ചില പേയ്‌മെന്റുകൾ നടത്തി ഉപഭോക്താവിന്റെ അക്കൗണ്ടിൽ ഡെബിറ്റ് ചെയ്‌തിരിക്കാം. എന്നാൽ ഉപഭോക്താവ് തന്റെ ക്യാഷ് ബുക്കിൽ ഇത് നൽകിയിരിക്കില്ല.

8. Dishonour of a bill discounted with the bank

Sometimes the customer discounts bills of exchange before maturity for urgent cash. If on the date of maturity, such a bill is dishonoured, the bank will debit the customer’s account. The customer will make this entry in his book only after getting information from the bank.

ചിലപ്പോൾ അടിയന്തിര പണത്തിനായി കാലാവധി പൂർത്തിയാകുന്നതിനുമുമ്പ് ഉപഭോക്താവ് എക്സ്ചേഞ്ച് ബില്ലുകൾ ഡിസ്കൗണ്ട് ചെയ്യുന്നു. കാലാവധി പൂർത്തിയാകുന്ന തീയതിയിൽ, അത്തരമൊരു ബിൽ അപമാനിക്കപ്പെടുകയാണെങ്കിൽ, ബാങ്ക് ഉപഭോക്താവിന്റെ അക്കൗണ്ടിൽ ഡെബിറ്റ് ചെയ്യും. ബാങ്കിൽ നിന്ന് വിവരങ്ങൾ ലഭിച്ചതിനുശേഷം മാത്രമേ ഉപഭോക്താവ് തന്റെ പുസ്തകത്തിൽ ഈ എൻ‌ട്രി നടത്തുകയുള്ളൂ.

9) Errors and Omissions
Errors and omissions either in the Cash Book or in the Pass Book is another reason for difference between the balance as per Pass Book and Cash book.

ഒഴിവാക്കലുകളും ക്യാഷ് ബുക്കിലോ പാസ് ബുക്കിലോ ഉള്ള പിശകുകളും ഒഴിവാക്കലുകളും പാസ് ബുക്കും ക്യാഷ് ബുക്കും അനുസരിച്ച് ബാലൻസ് തമ്മിലുള്ള വ്യത്യാസത്തിന് മറ്റൊരു കാരണമാണ്.


Items to be added with cash book balance 

ക്യാഷ് ബുക്ക് ബാലൻസ് ഉപയോഗിച്ച് ചേർക്കേണ്ട ഇനങ്ങൾ

  1. Cheques issued but not yet presented.
  2. Interest allowed by the bank.
  3. Interest, dividend, commission etc. collected by the bank but not recorded in the cash book.
  4. Direct deposit made by the customer in firm’s bank account.

  1. ചെക്കുകൾ നൽകിയെങ്കിലും ഇതുവരെ അവതരിപ്പിച്ചിട്ടില്ല.
  2. പലിശ ബാങ്ക് അനുവദിച്ചു.
  3. പലിശ, ലാഭവിഹിതം, കമ്മീഷൻ തുടങ്ങിയവ ബാങ്ക് ശേഖരിച്ചെങ്കിലും ക്യാഷ് ബുക്കിൽ രേഖപ്പെടുത്തിയിട്ടില്ല.
  4. സ്ഥാപനത്തിന്റെ ബാങ്ക് അക്ക in ണ്ടിൽ ഉപഭോക്താവ് നേരിട്ടുള്ള നിക്ഷേപം.

Items to be deducted from the cash book balance
ക്യാഷ് ബുക്ക് ബാലൻസിൽ നിന്ന് കുറയ്ക്കേണ്ട ഇനങ്ങൾ

  1. Cheques deposited into bank but not yet collected.
  2. Bank charges debited by the bank in the pass book.
  3. Interest on overdraft charged by the bank.
  4. Payment made by bank on customer’s behalf.
  5. Cheques dishonored, but not recorded in cash book.
  1. ചെക്കുകൾ ബാങ്കിലേക്ക് നിക്ഷേപിച്ചെങ്കിലും ഇതുവരെ ശേഖരിച്ചിട്ടില്ല.
  2. പാസ് ബുക്കിൽ ബാങ്ക് ഡെബിറ്റ് ചെയ്ത ബാങ്ക് ചാർജുകൾ.
  3. ബാങ്ക് ഈടാക്കുന്ന ഓവർ ഡ്രാഫ്റ്റിന്റെ പലിശ.
  4. ഉപഭോക്താവിനുവേണ്ടി ബാങ്ക് നടത്തിയ പേയ്‌മെന്റ്.
  5. ചെക്കുകൾ അപമാനിക്കപ്പെട്ടു, പക്ഷേ ക്യാഷ് ബുക്കിൽ രേഖപ്പെടുത്തിയിട്ടില്ല.

A bank reconciliation statement can be prepared in two ways:
ഒരു ബാങ്ക് അനുരഞ്ജന പ്രസ്താവന രണ്ട് തരത്തിൽ തയ്യാറാക്കാം:

(a) When Cash book balance used as a starting point ക്യാഷ് ബുക്ക് ബാലൻസ് ഒരു ആരംഭ പോയിന്റായി ഉപയോഗിക്കുമ്പോൾ
